We handle personal information in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

By using our website or services, you agree to this policy. If you do not agree, please do not use the services.

Who this applies to

EverStaff provides AI "employees" (such as call answering, missed-call text-back, lead qualification and booking) to business customers. This policy covers two groups:

  • Our customers — the business owners and their team members who sign up for EverStaff.
  • Our customers' end-customers — people who call or text a business that uses EverStaff. For this group, EverStaff generally acts as a service provider processing information on behalf of, and under the instructions of, the business.

Information we collect

  • Account information: name, email address, phone number, business name and business details.
  • Business content: your services, pricing, hours and other information you provide to train your AI employees.
  • Communications: phone numbers, call and SMS content, and message transcripts exchanged between your AI employees and your end-customers.
  • Payment information: processed by our payment provider (Stripe). We do not store full card numbers.
  • Usage and technical data: log data, device and browser information, and cookies used for authentication and to operate the site.

How we use information

  • To provide, operate, maintain and improve the services;
  • To power AI conversations, bookings, notifications and reporting;
  • To process payments and manage subscriptions;
  • To provide support and communicate with you about the service;
  • To comply with our legal obligations and enforce our terms.

Service providers we share information with

We use trusted third parties to deliver the service. They may process personal information only to provide their functions to us:

  • Twilio — telephony and SMS delivery;
  • Anthropic (Claude) — AI processing of message content;
  • Supabase — database, authentication and storage;
  • Stripe — payment processing;
  • Vercel — website and application hosting;
  • Resend — transactional email (where used).

Some of these providers store or process data outside Australia (including in the United States). Where information is disclosed overseas, we take reasonable steps to ensure it is handled consistently with the APPs. We do not sell your personal information.

SMS and marketing messages

Automated messages sent through EverStaff identify the sending business and include an opt-out (reply STOP). Where EverStaff sends messages on behalf of a business, the business is responsible for ensuring it has the necessary consent under the Spam Act 2003 (Cth) and other applicable laws.

Data retention

We retain personal information for as long as needed to provide the services and to meet legal, accounting or reporting requirements. When no longer required, we take reasonable steps to delete or de-identify it. On request from a business customer, we will delete or return the data we hold on their behalf, subject to legal obligations.

Security

We take reasonable technical and organisational measures to protect personal information, including access controls, encryption in transit and database-level access restrictions. No system is completely secure, and we cannot guarantee absolute security.

Your rights

You may request access to, or correction of, the personal information we hold about you. End-customers should contact the relevant business in the first instance; we will assist that business to respond. To make a request or raise a privacy concern, contact us using the details below. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).

Cookies

We use essential cookies to keep you signed in and to operate the site. We do not use cookies to build advertising profiles.

Children

The services are intended for businesses and are not directed at children under 16.
